GM Peripatetic Service - Updated May 2025

  1. School based lessons are subject to agreement from the school for lessons to take place within academic time and on school property.
  2. Lessons will take place on the time and day agreed between the GM tutor and the school.
  3. Non-attendance of the pupil due to illness, school trips etc. is non-refundable, though tutors will attempt to make up any missed individual tuition sessions if viable.
  4. It is the parent's responsibility to inform the GM tutor of any Inset days in school. If possible, sessions will be made up.
  5. In the event of a GM tutor missing a session every effort will be made to make up the session. Refunds will be issued if necessary.
  6. Exceptional circumstances:
    • Sessions missed due to extreme weather will be rearranged within the affected term or refunded as necessary.
    • Sessions missed due to Gloucestershire Music staff industrial action will be refunded as necessary.
    • Sessions missed due to school staff industrial action are not eligible for refunds
  7. Payment must be received in advance of the first week of term (based on a three term year) before tuition can commence. 
  8. Half a terms’ notice is required for cancellation of small group/individual tuition. Should you wish to cease lessons at the end of a full term (based on a three term year), Gloucestershire Music need to be notified before the half term break by emailing glosmusic@gloucestershire.gov.uk. If half a terms' notice is not given then the invoice for the following half term's tuition would be payable.
  9. Minimum booking of tuition is 10 sessions (for late start sessions the amount of deliverable sessions will be communicated at the time of confirmation if 10 sessions are not possible within the time frame).
  10. Rates are subject to change and annual increases.
  11. It is not possible to guarantee the allocation of specific tutors to individual schools.
  12. Paired tuition is dependant on 2 pupils enrolling on the same instrument of similar standard. Where Paired  Tuition is not viable, it may only be possible to offer a different instrument or individual tuition. 
  13. After enrolling for tuition the pupil’s name will automatically be added to a waiting list and will be allocated to a lesson once tuition is viable. Once tuition is viable you will be emailed an offer of tuition which needs to be accepted before tuition can commence.
  14. If the pupil is in Y11 they may wish to take a half term sabbatical during GCSE exams. If the pupil is in Y13 they may wish to end their lessons before May half term due to A-Level exams. In each case half a term's notice is required.

Music Centres & County Music Groups

  1. Non attendance is non-refundable
  2. Please see individual groups for attendance requirements where applicable
  3. Please ensure you have noted the dates for all rehearsals and events, as these are published in advance of each academic year and are searchable in six month periods.  See GM Calendar
  4. Please notify your group leader of any anticipated absences as early as possible in the academic year
  5. Half a term's notice is required for cancellation of membership
  6. All music/resources and membership cards must be returned before any refund can be made
  7. All music given to members for concerts/events must be returned immediately after the performance.

Instrument Hire

  1. The hire charges (as applicable) must be paid promptly upon receipt of the Instrument Hire Invoice. Requests for payments are sent to your email or home address once each term after the initial order (3 terms per year). Non payment of hire fees will result in instruments being recalled and any debt passed to GCC Legal Department.
  2. All information requested on the “Hire Order Form” must be given.
  3. Instruments are hired on a termly basis, including holidays (3 terms per year).
  4. Repairs may only be undertaken by the Repair Technician at Colwell. See below for instrument return/collection details.
  5. Instruments are sent out to you in full working order. The replacement of items such as strings or reeds are your responsibility unless there is an obvious fault at the time of receiving the instrument.
  6. Every care should be taken to protect the instrument against loss or damage. The hire charge does not cover this. In the event of loss or damage you will be required to compensate Gloucestershire Music up to the replacement value of the instrument. It is your responsibility to insure against this, and if you do not, you could become liable for the cost of repair or replacement of the instrument. The instrument value for insurance purposes is displayed below.
  7. If, at any time, you no longer require the instrument it should be returned to Colwell Arts Centre. See below for instrument return/collection details. If the instrument is returned at half term, or the week before, then half the hire fee will be payable.
  8. The instrument may not be transferred to any other person.
  9. Please advise immediately of any change in contact details.
  10. If the instrument provided is exchanged either like for like, or for a different type of instrument (e.g. a clarinet is exchanged for a trumpet) then the above conditions still apply and any difference in replacement value should be observed.
  11. Full hire fees are payable for any hiring period greater than half a school term.

Please be aware that these costs are for insurance purposes only and give an average price of the replacement cost across all of our stock. If a replacement is deemed necessary then the actual replacement cost for that individual instrument will be assessed and issued accordingly.

INSTRUMENT DELIVERIES, RETURNS, REPAIRS AND EXCHANGES

Instruments must be collected , and returned, to Colwell Arts Centre during the normal opening hours of Monday - Thursday 8:30am-4:30pm and Friday 8:30am-4:00pm (excluding bank holidays).

 

Privacy Policy

Context – Who we are:

Gloucestershire Music is the music service for Gloucestershire County Council (GCC). We are the largest delivery partner for the council’s Music Hub ‘Make Music Gloucestershire’ which is funded by Arts Council England. All of our staff are employed by Gloucestershire County Council and all of our policies are in line with their guidelines.

Gloucestershire Music runs an instrument hire scheme, music centres and county music groups for children and adults around the county and support schools in their delivery of music, the national curriculum and the National Plan for Music Education. We also organise and run events and large scale, high quality opportunities for musicians of all standards throughout the year.

Why we collect and use your information:

Gloucestershire Music (GCC) is the data controller for the personal information we collect from you. The council will collect and use your personal information in order to process the necessary information to form a contract for the hire of instruments or membership to our music groups and events. We are also required to collect information to comply with legal obligations surrounding the safeguarding of our clients.

The information we collect about you:

Gloucestershire Music (GCC) will collect only the personal information we need to perform our functions. We will collect:

Name

  • Contact Details
  • Adult/Parental Details
  • Child’s Details (if applicable)
  • School Details (if applicable)
  • Bursary Eligibility Evidence (if applicable)
  • For Membership Subscriptions we would also need to collect:
  •  Relevant Health Details
  • Emergency Contact Details
  • Instrument/Grade Details
  • Permissions surrounding inclusion in media and free time where applicable (and consent can be changed around these areas at any time)

We collect information from you in the following ways:

  • Face-to-face
  • Over the telephone
  • Email
  • Electronic (via our online Parent Portal)

The information is stored by our database provider Paritor using secure cloud storage. You can view their privacy policy here

How we will use the information about you:

Gloucestershire Music (GCC) will use the information about you to provide a service to you and to complete the required information to form a contract for instrumental hire and membership to groups / events and thereafter the management of those contracts and relevant invoicing. We will also use the information to ensure we have the statutory information for safeguarding the clients in our groups and events.

We will occasionally make contact with you relating to your contract, membership or event subscription with relevant information for your attention. We will also ask you permission to be able to send you occasional emails, which we believe with be of interest to you based on the services you have requested from us and you are free to unsubscribe from these at any point.

How long we keep your information for:

Gloucestershire County Council will keep the personal data of adults for 6 years. We are required to keep this information for this long because of the Limitation Act 1980, Section 2.
Information relating to children or regarding services to children will be stored until a review of the moratorium issued as part of the IICSA in July 2015 comes to an end in 31/12/2021 at which time the retention periods will be updated and this privacy notice will be amended.

Who we share your information with:

Gloucestershire County Council does not share your information with any third party, unless we are required to by law.

We are required to supply Arts Council England with certain annual statistics linked to our funding conditions but these are totally anonymised data returns.

Access to your information:

Correction of inaccurate information:

You have the right to request that the council correct information that you believe is inaccurate or incomplete. You may not always be able to change the information. However, we will correct factual inaccuracies and may include your comments in the records.

The right to be forgotten (erasure):

You have the right to request that the council delete your information when there is no compelling reason for us to continue using it. Please be aware that in certain situations we are still allowed to keep and use your information, even when you request that it should be erased.

The right to object:

You have the right to object to us using your information if you feel we have used it outside the remit of our public tasks or when you have received marketing from us. Please be aware that in certain situations we are allowed to still use your information if there are compelling legitimate grounds to do so.
